Introduction:

Our Approach: At Pipl.ai, we deploy a multitude of techniques to enhance email delivery chances. This includes using a global network of servers, automated IP rotation, and AI algorithms to optimize sending patterns and times for each ESP, among many other strategies.

Your Role: While we provide 50% of the efforts to ensure successful email delivery, the other 50% depends on your proactive engagement.

1. Register a List of Domains for Cold Outreach

Early Registration: Register your domain as soon as you decide to engage in cold outreach. Domain age significantly impacts email deliverability.

Domain Selection: Opt for traditional top-level domains (TLDs) such as .com, .net, or regional domains like .co.uk. Our analysis has shown that newer or uncommon TLDs like .info, .me, .xyz are way more likely to be flagged as spam. (See more)

Domain Segregation: Avoid using your main business domain for cold outreach to prevent any potential risk of blacklisting, which could disrupt normal business operations. For instance, at Pipl.ai, instead of using our main domain, we use alternative domains like usepiplai.com or getpiplai.com for these purposes.

2. Setup Email Accounts and Choose a Reliable Email Service Provider

Email Account Setup:

Multiple Accounts: It is advisable to create 3-5 email accounts per domain to optimize deliverability.

Service Provider Selection:

Premium Providers: Based on our observations and analyses, Google Workspace and Microsoft 365 stand out for their stability and deliverability. They are priced higher due to their superior performance.

Finding Reliable Resellers: If opting for resellers due to cost considerations, exercise caution. Many so-called resellers purchase Google and Microsoft accounts from countries with lower prices and resell them, which can lead to complications such as security alerts and temporary account restrictions if login activities do not match the account’s country of origin.

Alternatives to Premium Providers:

Choosing Other ESPs: If you decide to use other Email Service Providers (ESPs), select one that does not aggressively block outgoing messages based on spam-like characteristics. Some ESPs are very proactive in blocking outgoing messages that merely "look like" spam, which complicates your ability to land emails in your leads’ inboxes.

Setting Up Your Own Email Server:

Realistic Expectations: For those considering setting up their own server, be realistic about what you can achieve with the resources at hand. A low-cost VPS, such as one available for $10 per month, will not be able to support 1000 email accounts. Ensure you allocate sufficient resources to avoid issues like full email inboxes, limited concurrent SMTP connections, and unstable server connections.

3. Configure Essential Email Settings

Setup MX, SPF, DKIM, and DMARC: Proper configuration of these settings is more crucial than ever. We don’t just perform simple DNS checks; our in-app tests also verify these configurations against the headers of actual sent emails to ensure they are correctly set up. (see more)

4. Warm-Up Your Email Accounts

Email Warm-Up Functionality: At Pipl.ai, our email warm-up function is uniquely designed to prepare your accounts for actual campaigns. It simulates realistic email interactions, which are crucial for building a solid sender reputation.

Disabling Spam Filters: Prior to activating the warm-up function, it is essential to disable your spam filters. This prevents blocking of warm-up emails from other users, which is necessary to ensure effective interaction and improve reply rates.

Normalization of Delivery:

Initial Email Placement: It's normal for some emails to initially land in the Spam folder during the warm-up phase.

Systematic Improvement: Our system actively moves these emails from the Spam to the Inbox. This action is critical as it progressively enhances the deliverability and reputation of your email accounts as trusted senders.
