Few things you need to know about how warm-up works and issues you may face.

Warmup Emails Sent But Not Received:

This can occur if we're unable to confirm deliverability to a certain account.

Pipl.ai uses multiple third-party email verification services, such as Zerobounce, Emailable, and MillionVerifier, to assess deliverability for newly connected warmup accounts.

If these services cannot verify deliverability, we pause sending to prevent bounces. If you experience this, please contact us at [email protected] with the details of the affected accounts.


Warmup Ban Message - Spam Box Not Found:

Our warmup process involves moving warmup emails from a user's spam folder to their main inbox.

Issues arise if we can't access the spam folder, possibly due to external spam filtering services.

If you see an error about a missing spam box, ensure you have a dedicated spam folder in your email account, move an email to spam, then reconnect your email account to Pipl.ai and inform our support team.


Warmup Not Reaching the Sending Limit:

The daily limit is more of a guideline than a strict target. Our algorithm optimizes for improving deliverability rather than hitting a specific number of emails. It determines the appropriate number of emails to send based on your account's health and other factors.


Reconnecting or Re-adding Email Addresses:

Data will not be lost if you reconnect or re-add the same email address. Both warmup and account stats will be retained.


Receiving Warmup Emails in Large Numbers:

This may occur if the warmup pool detects a potential issue with the account. It's a temporary situation and should normalize over time.


Determining Adequate Warmup Duration:

For new domains/accounts, warm up for at least 3-4 weeks, and for older ones, at least 21 days before starting cold outreach campaigns. Check the warmup or sent folder in your email account to gauge how long your accounts have been warming up. It's advisable to keep warmup active for as long as you use these accounts.


Changing Sending Account Name:

Changing just the name and not the domain won't reset the warmup period. Your account will remain ready for cold outreach.


Response to Google's Ban on Auto-Warmers (Mid-February):

Pipl.ai does not rely on Google API for email warmup and is not impacted by Google's policy changes. However, diversifying your email accounts across different providers is recommended.


Warmup Enabled But Not Sending:

You may be outside of email warm-up schedule for the specific email account.
Please check if you've enabled the warmup schedule in account settings.

Once email warm-up is enabled you should start sending and receiving warm-up emails within couple hours.


Resetting Warmups:

To reset your email warmup, either remove the email accounts for 2 days (based on UTC) or lower your sending limit for 2-3 days. Both methods effectively reset the warmup process.
